AccMonitor Quick Start Guide

Downloading and Installing AccMonitor 6.0

The AccMonitor license for each University of Wisconsin System and Wisconsin Technical College System campus is for a single server installation. Because the licenses were distributed through an intranet, they are password protected.

Step 1 is to install AccMonitor on your computer using the download link and password provided to you.

In order to activate AccMonitor, the license key for your campus must be installed. These license Key Codes were distributed to the CIO or Information Technology Director at each UW and WTC System campus. The Key Codes are case sensitive and must be entered exactly as they appear. Whomever will be using AccMonitor must register their license with HiSoftware. Activating AccMonitor

To activate the license, enter the campus name and Key Code through the License Management utility in AccMonitor.

  1. Run the License Management utility by going to the Start Menu, All Programs, HiSoftware AccMonitor, and select AccMonitor. AccMonitor will start and will continue to run in the background even when shut down. An icon will appear in the system tray in the lower right side corner of the Windows task bar.

  3. Register the software by entering in the (case-sensitive) license Key Code that was provided to the IT Administrator of your campus. Without the Key Code, only one Web site with a total of only 25 Web pages can be monitored. Select Action from the menu, then Licenses and Add Web License. Enter in the Company Name (i.e. Campus Name) and the license Key Code and select the "OK" button.

Setting Up Web Sites To Monitor

  1. Create a "Web" for AccMonitor to check. In AccMonitor, a "Web" is really a Web site. There is no limit to the number of Web sites AccMonitor can check. Select Action from the menu, then Webs, New.

  3. A dialog box will appear to specify an Internet Based Web or a File System Based Web. An Internet Based Web is one that is accessed through the internet. A file based Web is one that is directly connected to where AccMonitor is residing, either through a network or on the local hard drive. Most users will want to select Internet Based Web because it is most commonly used. Select OK.

  5. Next, give AccMonitor information about the Web site. Do this once for each Web site to be monitored. Enter the Host Domain for Verification Checks. That is the URL of the Web site that you want to check, e.g. http://www.cew.wisc.edu/accessibility/. Enter the URL.

  7. To create reports visible on the internet, check the box labeled Create 'Web Ready' reports. Then go to the input box labeled Base Folder for Reports. This is where the reports will be placed on the server. Enter the URL that people will use to get to the reports.

  9. Next, specify the starting file of the Web site. Select the tab labeled Web Start Pages. Select the Add URL button. A dialog box will appear. Enter in the Starting URL, e.g. index.html.

  11. The next step is to tell AccMonitor how many Levels to crawl on the Web site. Setting "1 level" means that AccMonitor will look at the main page and all of the pages linked to from the main page. Setting "2 levels" means that it will look at the main page and every page linked to from the main page and every page that is linked to from each of those pages. Pick a number appropriate to the size of the Web site being analyzed. When in doubt, enter a fairly high number such as 10 to ensure AccMonitor looks at every page on the Web site.

  13. Enter in a username and password if this Web site requires one, or if, appropriate, specify a form that will be filled out. To specify a form, check the starting page contains an authentication form checkbox and enter the form data by selecting the Form Data button.
  14. To have reports (or just the links to the reports on the Web site) automatically emailed to people after they've been created, select the Email Reports tab. Note that in order for this feature to work, SMTP email settings must be established on the Web server.

  16. On that same dialog window, select the radio button labeled Send link to index report only. It's probably better to use that because the reports can be very large.
  17. Finally, select the New button and start entering in names and email addresses for people that you want to send emails to.

    Click OK. Finally, enter in the name for this Web. Click OK.

  19. AccMonitor users can create an unlimited number of Webs to monitor. Repeat steps 1 through 12 to create additional Webs.

Scheduling Web sites to monitor

Once a web has been placed in AccMonitor, the next step is to schedule it for automatic checking on a regular basis.

  1. Right click on any area in the left side pane and select Open Scheduler. Another option is to select Action, Schedule and then Open Scheduler.

  2. Once the scheduler open up, a list of Available Jobs appears. Select one of the created Webs to schedule by either double clicking on it, or selecting Actions, Schedule Job. The selected Web site now appears in the Scheduled Jobs list.

  3. The run interval is set to Daily at 12:01:00 AM by default. To changethe run interval, select the Web Site under Scheduled Jobs, then by pressing the Settings button.

    Users can set the run interval so that the Web site will be checked daily, weekly, or monthly, at any specified time. Click OK when the schedule update is complete.

  4. To run a series of Web sites at once, select Actions and schedule all jobs. AccMonitor will schedule all of them at the same time. AccMonitor will simply move through each site scheduled in turn.
  5. Select the Save button when scheduling is complete. Close the scheduling window.

AccMonitor will now check your Web sites when scheduled. To run the check immediately, select the Web site under Webs from the left pane.

Select Action from the main menu, then Webs, Run to complete the check.

Viewing the Reports

If AccMonitor is set to produce Web Ready reports, then the reports will be available at the URL provided. To view a report inside AccMonitor, first select the Web site in question by going to the Webs folder in the left pane. Select the Web site. Right click on it and select View Summary Report.
